PRIVACY POLICY

 I General provisions

  1. This Privacy Policy applies to the personal data of users of the Platform of journals of the University of Warmia and Mazury in Olsztyn, operating at the address https://czasopisma.uwm.edu.pl, hereinafter referred to as the "Platform".
  2. The administrator of the personal data is the University of Warmia and Mazury in Olsztyn, with its seat in Olsztyn, at 2 Michała Oczapowskiego Street, NIP: 739-30-33-097, REGON: 510884205, hereinafter referred to as the "Administrator".
  3. The processing of personal data will be carried out by the requirements of the generally applicable legal provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC hereinafter referred to as "RODO".
  4. The Privacy Policy is supervised by the Personal Data Inspector of the University of Warmia and Mazury in Olsztyn, 9 Roman Lawcheńskiego Street, 10-719 Olsztyn, tel. 89 523 36 78.

II Purpose, scope and duration of personal data processing

  1. Personal data of the Platform users will be processed to the extent and for the purpose necessary for the efficient functioning of scientific electronic journals, in particular for:  
    1. efficient communication in the editorial process; 
    2. editing content;
    3. creating internal reports and analyses (including sub-page viewing statistics, and publication readership);
    4. sending notices and information concerning the magazine with the users' consent;
    5. any charges for access to publications;
    6. informing readers of the authorship of texts published on the Platform;
    7. the indexing of published texts and data in databases, catalogues and services, by the journals' publishing policies.
  2. Users registered on the Platform may provide the Administrator with the following data:
  • First name*
  • Middle name
  • Surname*
  • Login
  • Gender
  • Password (encrypted)
  • Email*
  • ORCiD ID
  • Website
  • Country
  • Phone
  • Fax
  • Affiliation
  • Biography
  • Date of registration
  • Last login date
  • Location
  • Research interests
  • Function (role) on the Platform.
  1. Persons registering as readers are obliged to provide the following data:
  • First name
  • Surname
  • Email
  • Login
  • Password
  • Function (role) on the Platform.
  1. Persons registering as authors, in addition to the data specified in section II.3, are required to provide information on affiliation and country of origin.
  2. In the event of the launch of electronic sales of publications on the Platform, persons interested in using this service may provide the Administrator with additional data concerning the choice of payment channel and bank account number.
  3. Providing personal data is:
    1. voluntary in the case of using the content of open access journals deposited on the Platform;
    2. a necessary condition if you wish to participate in the electronic publishing process, including:
      1. depositing texts for publication on the authors' rights;
      2. performing the following functions: editor, section editor, technical editor, reviewer, DTP specialist, indexer, proofreader, journal manager, subscription manager, marketing manager;
      3. create an account with reader rights in order to be informed by the publisher and editorial office about newly published issues and articles.
  4. Personal data of the participants in the electronic editorial process, including authors of publications, editors, and reviewers, will be processed for scientific and statistical purposes by Article 89 of the RODO for the entire period the electronic versions of the journal are available. The scientific purpose is considered to be archiving articles and metadata, making them available, indexing them and submitting them for indexing in scientific databases, catalogues and services.
  5. Personal data of potential authors whose texts have not been accepted for publication may be deleted by the administrator after 2 years from the editorial office's decision not to publish.
  6. The personal data of users with reading rights may be deleted by the Administrator at any time after the user's request.

III. Users' rights

  1. Each User registered on the Platform has the rights set out in Articles 15-21 of the RODO, which they may exercise subject to the conditions set out in the aforementioned provisions:
    • Right of access to the data,
    • The right to rectification of the data,
    • Right to be forgotten,
    • Right to restrict processing,
    • The right to data portability,
    • Right to object.
  2. The user has the right to edit his account and change the data previously provided, with the exception of the system login. From the application level, he/she may, at any time, withdraw his/her consent to receive information from the publisher and editors of the journals hosted on the Platform.
  3. The rights specified in section III.1 are exercised after prior notification to the Administrator via e-mail: http://www.uwm.edu.pl/daneosobowe/formularz

IV Rights of the Administrator

  1. The Administrator reserves the right to process the Users' data after revoking the consent only for the purposes of prosecuting possible claims in court or if national or EU regulations or international law oblige him to retain the data.
  2. The Administrator is entitled to make User data and other User data available to authorised entities on the basis of the relevant provisions of law.
  3. The Administrator may use the services of other processors on the basis of the written consent given to them and the conditions set out in Article 28 of the RODO.
  4. Data may be transferred to:
    1. processors in connection with the outsourced administration and technical support services of the Platform;
    2. to the publishers of the analytics systems Google Analitycs;
    3. publishers of indexing databases and catalogues:
      • SCOPUS
      • Pol-index
      • WorldCat
      • Google Scholar
      • CEJSH
      • Crossref Metadata Search
    4. to entities or authorities authorised by law.

V Security of personal data

The platform is encrypted using SSL (Secure Socket Layer). User passwords entered are encrypted. The University of Warmia and Mazury in Olsztyn processes personal data in accordance with current legislation on personal data protection and applies technical and organisational measures to ensure the protection of the processed data appropriate to the risks and categories of protected data, and in particular protects personal data against unauthorised access, loss or damage.

VI Cookies

The platform uses cookies which are used to identify the visitors' browsers. Thanks to the collected information, the Administrator wants to gain knowledge about the frequency of visits to the Platform and identify its most interesting elements. The data obtained will allow the Administrator to better adapt the Platform to the users' needs, and improve its functioning and for statistical purposes. These files cannot be used to infect the device with viruses or other malicious software.
