PRIVACY POLICY

I General provisions

This Privacy Policy applies to the personal data of users of the University of Warmia and Mazury in Olsztyn Journals Platform, operating at https://czasopisma.uwm.edu.pl hereinafter referred to as the "Platform".

The administrator of the personal data is the University of Warmia and Mazury in Olsztyn, based in Olsztyn, ul. Michała Oczapowskiego 2, NIP: 739-30-33-097, REGON: 510884205 hereinafter referred to as the "Administrator".

The processing of personal data will be carried out in accordance with the requirements of the generally applicable legal provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC hereinafter referred to as "RODO".

The Privacy Policy is supervised by the Personal Data Inspector of the University of Warmia and Mazury in Olsztyn, 9 Romana Prawocheńskiego Street, 10-719 Olsztyn, tel. 89 523 36 78.

II Purpose, scope and duration of personal data processing

Personal data of the Platform users will be processed to the extent and for the purpose necessary for the efficient functioning of scientific electronic journals, in particular for:
efficient communication in the editorial process;
editing content;
creating internal reports and analyses (including statistics on sub-page views, publication readership);
sending alerts and information about the journal with users' consent;
possibly charging for access to publications;
informing readers of the authorship of texts published on the Platform;
indexing of published texts and data in databases, catalogues and services, in accordance with the journals' publishing policies.
Users registered on the Platform may provide the Administrator with the following data:

Those registering as readers are required to provide the following details:

Persons registering as authors, in addition to the data set out in point II.3, are required to provide information concerning their affiliation and country of origin.
In the event of the launch on the Platform of the sale of electronic versions of publications, persons interested in using this service may provide the Administrator with additional data concerning the choice of payment channel and bank account number.
The provision of personal data is:
voluntary in the case of use of the content of open access journals deposited on the Platform
necessary if you wish to participate in the electronic publishing process, including:
depositing texts for publication with the rights of authors
performing the following functions: editor, section editor, technical editor, reviewer, DTP specialist, indexer, proofreader, journal manager, subscription manager, marketing manager
create an account with reader rights in order to receive information from the publisher and editorial office on newly published issues and articles.
The personal data of participants in the electronic editorial process, including authors of publications, editors, reviewers, will be processed for scientific and statistical purposes in accordance with Article 89 of the DPA for the entire period the electronic versions of the journal are available. The scientific purpose is considered to be the archiving of articles and metadata, their sharing, indexing and submission for indexing in scientific databases, catalogues and services.
The personal data of potential authors whose texts have not been accepted for publication may be deleted by the administrator 2 years after the editors' decision not to publish.
The personal data of users with reading rights may be deleted by the Administrator at any time following a request by the user.

III. Users' rights

Each User registered on the Platform has the rights set out in Articles 15 to 21 of the RODO, which may be exercised subject to the conditions set out in the aforementioned provisions:
Right of access to data,
The right to rectification of the data,
The right to be forgotten,
Right to restrict processing,
The right to data portability,
The right to object.
The user has the right to edit his or her account and change previously submitted data, with the exception of the system login. From within the application, he or she may withdraw consent at any time to receive information from the publishers and editors of the journals hosted on the Platform.
The rights referred to in section III.1 are exercised after prior notification to the Administrator by e-mail: http://www.uwm.edu.pl/daneosobowe/formularz.

IV Rights of the Administrator

The Administrator reserves the right to process User data after the withdrawal of consent only for the purposes of vindicating possible claims in court or if national or EU regulations or international law oblige him to retain the data.
The Administrator has the right to share Users' data and other data of the Administrator with authorised entities, on the basis of relevant legislation.
The Administrator may use the services of other processors, on the basis of the written consent given to them and the conditions set out in Article 28 RODO.
Data may be transferred to:
to processors in connection with the outsourced administration and technical support services of the Platform;
to publishers of the analytics systems Google Analytics, ; AddThis
publishers of indexing databases and directories.

to entities or authorities authorised by law.

V Protection of personal data

The platform is encrypted using SSL (Secure Socket Layer). User passwords entered are encrypted. The University of Warmia and Mazury in Olsztyn processes personal data in accordance with the applicable regulations on personal data protection and applies technical and organisational measures to ensure the protection of processed data appropriate to the risks and categories of data covered by protection, and in particular protects personal data against unauthorised access, loss or damage.

VI Cookies

The platform uses cookies which are used to identify the visitors' browser. Thanks to the collected information, the Administrator wants to gain knowledge about the frequency of visits to the Platform and to identify its most interesting elements. The data obtained will allow the Administrator to better adapt the Platform to the needs of users, to improve its functioning and for statistical purposes. These files cannot be used to infect the device with viruses or other malware.
