Author Guidelines
Echa Przeszłości is divided into the following sections: ARTICLES AND DISSERTATIONS, DOCUMENTS AND MATERIALS, POLEMICS, REVIEWS AND OVERVIEWS, SCIENTIFIC CHRONICLE, FAREWELLS, and FROM THE HISTORY OF SCIENCE IN WARMIA AND MAZURY
Editing requirements
1.1. The author will submit the following to the Journal’s:
- a print copy of the manuscript and a digital file on a data carrier: text with footnotes. The manuscript will be printed on one side of A4 paper; preferred text editor: Microsoft Word; font: Times New Roman; font size: 12 point; line spacing: 1.5; footnotes: 10 point font; margins on each page: top and bottom – 25 mm, left margin – 35 mm. Formatting should be kept to a minimum: indent in the first line of a paragraph, centering, italic font. The volume of articles and dissertations should not exceed 30 standard pages (30 lines of around 60 characters each); the volume of reviews and overviews should not exceed 5 pages;
- the author’s full name, institutional affiliation, ORCID number, and e-mail address should be provided in the top left corner on the first page;
- the abstract should be provided in both Polish and English, and it should contain the author’s/authors’ full name/names, title of the article, keywords (maximum 5). The abstract should not exceed 1000 characters;
- each article should be accompanied by references. Regardless of the language and alphabet used in the main manuscript, the references and the publications cited in footnotes should be prepared in the Roman alphabet (other alphabets may be Romanized);
- short author notes to be printed at the end of each annual volume (including affiliations, contact details, phone numbers) – up to one paragraph (max. 300 words); the notes will be submitted in digital form together with the reviewed article;
- the author shall ensure that the submitted text does not violate copyrights or third-party rights;
- the author will not be remunerated for the published manuscript;
- the author understands that after the manuscript has been published in the print edition of the Journal, the full text will be disseminated (PDF file) on the Journal’s website and in other media that increase the Journal’s reach and indexation (such as databases), and the author will not be entitled to remuneration for the digital publication;
- the author understands that ghostwriting and guest authorship constitute acts of scientific misconduct, and that if any such practices are discovered, they will be communicated to the respective organizations (the authors’ employers, scientific societies, associations of scientific editors, etc.).
1.2. Only manuscripts that have not been previously published will be accepted by Echa Przeszłości. Manuscripts that have not been ordered by the editorial team will not be returned to the author.
- The authors may use commonly accepted abbreviations (e.g., etc., i.e.) and other abbreviations when necessary.
2.1 The following information will be provided in a review: full name of the manuscript’s author, followed by the title and subtitle; for co-authored manuscripts – the editor’s full name; for multi-volume works – the number of volumes (parts); the name of the publisher, place and year of publication, number of pages, illustrations, and maps. The reviewer’s full name will be provided on the right side at the end of the text.
3.1. Footnotes should be numbered continuously at the bottom of the page. Footnote numbers will be inserted in the text as superscripts before a full stop ending the sentence (excluding cases where the footnote number directly follows an abbreviation) or before a comma within a sentence. Abbreviations that are commonly used in historical research may be used, but the abbreviated term must be spelled out in full at first mention. The titles of journals and publication series are italicized; the title of a manuscript published in a journal or a collective work should be followed by the word “in:” (without square brackets). The numbers of volumes, issues, and editions of journals and other periodicals should be written in Arabic numerals.
3.2. The description of a stand-alone publication (book) will contain the following information: initial letter of the author’s/authors’ first name (with a full stop), the author’s/authors’ last name(s) (without space), title, subtitle (separated by a full stop), place and year of publication, cited page numbers. The title is italicized (not in quotation marks).
3.3. Latin terms and abbreviations will be used in the footnotes. When the same source and page are cited two or more times, write “ibidem” followed by a comma and the cited page number, or “ibidem” only. For a previously cited source, write the initial of the author’s first name (with a full stop), last name, followed by “op. cit.”, a comma, and the cited page number. If more than one work by the same author is cited in the same footnote, write “idem” followed by the title or abbreviated title, a comma, and the cited page number (instead of the initial of the author’s first name and last name) when citing the second (and following) source.
3.4. Use the abbreviation “[n.d.]” when the date of publication is unknown, “[n.p.]” when the place of publication is unknown, and “[n.p.d.]” when both are unknown (in square brackets).
4. Figure captions are placed under the figure (image) and are numbered continuously (Fig. 1). The source of the presented material will be indicated. Figures and images can be attached as separate jpg or pdf files (minimum resolution – 300 dpi).
5. The Journal reserves the right to upload the articles published in the print edition on its website.
6. The Journal reserves the right to correct manuscripts and reject manuscripts that have been plagiarized.
7. The Journal accepts advertisements. Advertisements are printed on additional pages at the end of the Journal.
Copyright Notice
The author authorizes the Journal to upload the article published in the print edition of Echa Przeszłości on the Journal’s website (open access to full text) and in other media that increase the Journal’s reach and indexation (such as databases). By submitting the manuscript for publication, the author transfers to the publisher the exclusive right to print and disseminate the article (copyrights and editorial rights; CC-BY-NC-ND license): Creative Commons Attribution – Noncommercial – Nonderivatives 4.0 International.

PRIVACY POLICY
I General Provisions
- This Privacy Policy applies to the personal data of users visiting the online journal platform of the University of Warmia and Mazury in Olsztyn at https://czasopisma.uwm.edu.pl, hereinafter referred to as the Platform.
- The Data Administrator is the University of Warmia and Mazury in Olsztyn, with its registered seat in Olsztyn, ul. Michała Oczapowskiego 2, NIP: 739-30-33-097, REGON: 510884205, hereinafter referred to as the Administrator.
- Personal data will be processed in accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as GDPR.
- The Privacy Policy is supervised by the Personal Data Inspector of the University of Warmia and Mazury in Olsztyn, ul. Romana Prawocheńskiego 9, 10-719 Olsztyn, phone (48) 89 523 36 78.
II Purpose, Scope, and Duration of Personal Data Processing
- Platform users’ personal data will be processed for the purpose of and to the extent required for the smooth operation of the Platform, in particular to:
- ensure effective communication during the editing process;
- edit manuscripts;
- generate internal reports and analyses (including website traffic and readership reports);
- send notifications and information about the Journal to users upon their consent;
- charge fees for access to publications, if applicable;
- provide users with information about the authors of manuscripts published on the Platform;
- index published manuscripts and data in databases, catalogs, and services according to Journals’ publishing policies.
- Registered Platform users may provide the Administrator with the following data:
- First name*
- Middle name
- Last name*
- Login
- Gender
- Password (encrypted)
- E-mail address*
- ORCID ID
- Website address
- Country
- Phone number
- Fax number
- Affiliation
- Biography
- Registration date
- Last login date
- Location
- Research interests
- Function (role) on the Platform
- To register as readers only, users have to provide the following information:
- First name
- Last name
- E-mail address
- Login
- Password
- Function (role) on the Platform
- In addition to the data indicated in section II.3, users wishing to register as authors have to provide their affiliation and country of origin.
- If a paid access option is launched on the Platform, users who would like to pay for access to selected digital articles may provide the Administrator with additional information about the preferred payment channel and bank account number.
- Personal data disclosure is:
- optional for users who register on the Platform as readers only;
- mandatory for users who would like to participate in the digital publishing process, including:
- authors who submit manuscripts for publication;
- users who are editors, department editors, technical editors, reviewers, DTP specialists, indexers, proofreaders, journal managers, subscription managers, marketing managers;
- users who register as readers only to obtain information about new issues and articles from the publisher and the editorial team.
- Pursuant to the provisions of Article 89 of GDPR, the personal data of users participating in the digital publishing process, including authors, editors, and reviewers, will be processed for scientific and statistical purposes for as long as digital versions of the Journal are available on the Platform. Scientific purposes are defined as archiving articles and metadata, providing access to articles, indexing articles, and submitting articles for indexation in scientific databases, catalogs, and services.
- The personal data of prospective authors whose manuscripts have not been accepted for publication may be erased by the Administrator two years after the Journal’s decision not to publish the manuscript.
- The personal data of users who are readers only may be erased by the Administrator at any time upon the user’s request.
III. Users’ Rights
- The rights of registered Platform users are stipulated in Articles 15-21 of GDPR, and the users may exercise these rights on the conditions indicated in the above articles:
- Right of access by the data subject,
- Right to rectification,
- Right to erasure (‘right to be forgotten’),
- Right to restriction of processing,
- Right to data portability,
- Right to object.
- Users have the right to edit their accounts and modify their data, excluding the system login. At any time, users can withdraw their consent to receive information from the publisher and the journals available on the Platform by disabling notifications at the application level.
- Users can exercise the rights stipulated in section III.1 by filling in a digital form available at: http://www.uwm.edu.pl/daneosobowe/formularz.
IV Administrator’s Rights
- After the user has withdrawn his/her consent for the processing of personal data, the Administrator reserves the right to process that user’s data solely for the needs of litigation procedures or if personal data must be retained pursuant to the provisions of national, European, or international laws.
- The Administrator has the right to release the users’ personal data and other data to legally authorized entities.
- The Administrator may outsource data processing services pursuant to a written agreement and the provisions of Article 28 of GDPR.
- Data may be forwarded to:
- processors authorized to manage the Platform and provide technical support;
- providers of analytical services – Google Analytics, AddThis;
- databases and indexes of scientific journals:
- SCOPUS
- Pol-index
- WorldCat
- Google Scholar
- CEJSH
- Crossref Metadata Search
- legally authorized agencies and organizations.
V Personal Data Protection
The Platform uses the Secure Socket Layer (SSL) protocol to encrypt data. User passwords are encrypted. The University of Warmia and Mazury in Olsztyn processes personal data in accordance with the applicable regulations on the protection of personal data, implements technical and organizational measures to ensure a level of security appropriate to the risk and category of data, and protects personal data against unauthorized access, loss or damage.
VI Cookies
The Platform uses cookie files to identify website visitors’ browsers, obtain information about website traffic, and collect important analytical data. Cookies are used by the Administrator to enhance the users’ experience, improve the Platform, and perform statistical analyses. Cookie files may not be used to infect the users’ devices with viruses or malware.
